When providing our services, we process personal data. This privacy statement has been drawn up to inform you how we handle these personal data.

The use of personal data by MEPD
You provide your personal data to MEPD yourself. For example, the information you give us during a conversation or via the website, email, phone or app. In addition, we may

obtain your personal data from third parties as part of our services, such as your employer or an assessment agency.

Access to personal data
Only employees of MEPD (everyone who works at MEPD, either on the basis of an employment contract or otherwise) have access to the personal data processed in our systems. All employees have signed a confidentiality agreement and in addition, the systems are secured.

Personal data
MEPD processes the following categories of personal data:

  • Name and address details
  • Contact details, such as email address and phone numbers
  • Date of birth
  • Gender
  • Data and reports relating to your program (such as status and result)
  • Conversation reports
  • Communication (emails, correspondence, appointments/calendar, and chats)
  • Curriculum vitae, possibly with passport photo
  • Data relating to your employment history and education.

In addition to the above information, the following data may be recorded for the implementation of the services below:

For participants in an outplacement or career guidance program

  • Details in an action plan
  • Results of tests and assessments (such as skills, behavior, drives, talents, and intelligence scores).


For participants (employees) who are seconded and/or employed on the basis of a MUP employment contract

  • Place of birth
  • Citizen service number (for salary payment)
  • Data regarding your employment at MEPD (IBAN, copy of ID, salary details)
  • Leave balances and leave requests
  • Sick leave and recovery notifications.


For participants in a reintegration program (1st, 2nd, and 3rd track)

  • Results of tests and assessments (such as skills, behavior, drives, talents, and intelligence scores)
  • Functional Limitations List (FML)/Labor Limitations List (LAB) and
    occupational expert report.

Data we process via our website

  • IP address
  • Contact requests
  • Newsletter subscription.

For applicants of MEPD (different from above)

  • We review your online information (for example LinkedIn).
  • We keep your application data (CV, letter, and notes) for a maximum of 4 weeks after the end of the procedure.


Purposes
MEPD processes this personal data for various purposes, such as:

  • Maintaining contact
  • Good and efficient service provision
  • Providing job application training
  • Managing the client database
  • Conducting payroll administration
  • Carrying out administrative tasks, such as planning
  • Providing tailored support
  • Guidance towards suitable employment
  • Reporting and analysis for accountability to clients and the improvement
    of services
  • Invoicing
  • Collection of funds and taking collection measures
  • Marketing actions
  • Compliance with legal obligations.

Legal Bases

We process personal data because we have legitimate interests in doing so, such as:

  • Carrying out our services for our clients
  • Being able to provide tailored guidance to our participants
  • Providing our services as efficiently as possible
  • Protecting our financial interests
  • Improving our services.

In addition, we process certain personal data to comply with a legal obligation, such as obligations under social security law.

If we process personal data based on consent, we ask for that separately. Consent may be withdrawn at any time by sending an email to privacy@mepd.nl

Disclosure to third parties

MEPD may disclose your personal data to third parties, such as:

  • subcontractors and suppliers (such as data processors) who provide services or carry out assignments on behalf of MEPD. These recipients only have access to the data they need to perform their duties and are bound by contractual obligations.
  • third parties such as service providers who perform functions on our behalf (including test and training institutes, parties that conduct customer satisfaction surveys, external consultants, and professional advisors such as lawyers and IT consultants);
  • organizations for whom we may recommend you for a vacancy;
  • clients who ask us to provide our services for you;
  • pension fund, where applicable;
  • government agencies and other authorities, including the UWV.


Finally, your personal data may be provided to third parties when MEPD must comply with a legal obligation. MEPD will not provide your data for commercial or charitable purposes.

Transfer of your data outside the EU

Data is stored outside the EU because MEPD uses, among other things, Google Analytics, LinkedIn, Mailchimp, and Facebook. These parties are “EU-US Privacy Shield”
certified, so they are bound to comply with European privacy regulations.


How long we retain your data
MEPD will not process your personal data longer than necessary for the purposes stated in this privacy statement. This means that your personal data will be retained as long as needed to achieve the relevant goals, for a maximum of 7 years. Certain data must be retained longer in connection with legal
retention obligations, such as the fiscal retention obligation.

Cookies
Cookies are used on the website to improve online services. Your IP address and system information of your device are processed via cookies. For more information about these cookies, you can consult our cookie statement.

Your rights
You have the right to request MEPD to access your personal data. After receiving this request, you will receive an overview of your personal data within one month. If inaccuracies are found, you can ask MEPD to adjust, supplement, delete or shield your data.

You can also request MEPD to transfer your personal data, or object to the processing of your personal data due to special personal circumstances.

To prevent misuse of these rights, we ask you to identify yourself when submitting your request. This can be done by including a copy of a valid proof of identity. Do not forget to make your Citizen Service Number and passport photo unreadable on the copy. For example, you can use the ‘KopieID’ app for this.


Do you have a complaint about the processing of your personal data by MEPD? Please let us know. If you cannot resolve the issue with MEPD, you have the right to file a complaint with the privacy supervisory authority, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). You can contact the Dutch Data Protection Authority for this.

MEPD may amend this privacy statement. New versions will always be published on the website. We therefore advise you to consult this statement regularly so that you stay informed of any changes.
