When providing our services, we process personal data. To inform you how we handle this personal data, this privacy statement has been drawn up.

The use of personal data by MEPD
You provide your personal data to MEPD yourself. For example, the information you provide to us during a conversation or through the website, email, phone or app. Additionally, we can

obtain your personal data from third parties in the context of our services, such as your employer or an assessment agency.

Access to personal data
Only employees of MEPD (everyone who works for MEPD, either on the basis of an employment contract or otherwise) have access to the personal data processed in our systems. All employees have signed a confidentiality agreement, and additionally, the systems are secured.

Personal data
MEPD processes the following categories of personal data:

  • Name and address details
  • Contact details, such as email address and phone numbers
  • Date of birth
  • Gender
  • Data and reports concerning your program (such as status and result)
  • Conversation reports
  • Communication (emails, correspondence, appointments/agenda, and chats)
  • Curriculum vitae, possibly with photo
  • Data regarding your employment history and education.

 

In addition to the above data, the following can be additionally recorded for the purpose of providing the services below:

For participants in an outplacement or career program

  • Data in an action plan
  • Results of measurements and assessments (such as skills, behavior, drivers, talents, and intelligence scores).


For participants (employees) who are seconded and/or employed under a MUP employment contract

  • Place of birth
  • Citizen service number (for salary payments)
  • Data related to your employment at MEPD (IBAN, copy of ID, salary data)
  • Leave balances and leave requests
  • Sick and recovery notifications.


For participants in a reintegration program (1st, 2nd, and 3rd track)

  • Results of measurements and assessments (such as skills, behavior, drivers, talents, and intelligence scores)
  • Functional Capabilities List (FML)/List of Work Limitations (LAB) and
    occupational health expert report.

Data we process through our website

  • IP address
  • Contact requests
  • Newsletter registration.

For MEPD job applicants (different from the above)

  • We review your online information (for example LinkedIn).
  • We retain your application data (CV, letter, and notes) for a maximum of 4 weeks after the end of the procedure.


Purposes
MEPD processes this personal data for various purposes, such as:

  • Maintaining contact
  • Good and efficient service
  • Providing job application training
  • Managing the client base
  • Performing payroll administration
  • Carrying out administrative tasks, such as planning
  • Providing tailored guidance
  • Guiding people to suitable work
  • Reporting and analysis for accountability to clients and for the improvement
    of services
  • Invoicing
  • Collection of funds and taking collection measures
  • Marketing actions
  • Compliance with legal obligations.

Legal grounds

We process personal data because we have legitimate interests to do so, such as:

  • Carrying out our services for our clients
  • Being able to provide tailored guidance for our participants
  • Providing our services as efficiently as possible
  • Protecting our financial interests
  • Improving our services.

Additionally, we process certain personal data to comply with a legal obligation, such as obligations under social security law.

If we process personal data on the basis of consent, we will request this separately. Consent can be withdrawn at any time by sending an email to privacy@mepd.nl

Disclosure to third parties

MEPD may disclose your personal data to third parties, such as:

  • subcontractors and suppliers (such as data processors) who provide services or carry out assignments on behalf of MEPD. These recipients only have access to the data they need to perform their tasks and are bound by contractual obligations.
  • third parties such as service providers performing functions on our behalf (including test and training institutes, parties conducting customer satisfaction surveys, external consultants, and professional advisors such as lawyers and IT consultants);
  • organizations to whom we may introduce you for a vacancy;
  • clients who ask us to provide our services for you;
  • pension fund, if applicable;
  • governmental bodies and other authorities, including the UWV.


Finally, your personal data may be provided to third parties when MEPD must comply with a legal obligation. MEPD will not share your data for commercial or charitable purposes.

Transfer of your data outside the EU

Data is stored outside the EU because MEPD uses, among others, Google Analytics, LinkedIn, Mailchimp, and Facebook. These parties are “EU-US Privacy Shield”
certified, so they are bound by European privacy regulations.


How long we retain your data
MEPD will not process your personal data for longer than necessary for the purposes mentioned in this privacy statement. This means your personal data is kept as long as it is needed to achieve the relevant purposes, up to a maximum of 7 years. Certain data must be retained for longer due to legal
retention obligations, such as tax retention requirements.

Cookies
Cookies are used on the website to improve online services. Through cookies, your IP address and the system information of your device are processed. For more information about these cookies, you can consult our cookie statement.

Your rights
You have the right to request MEPD for access to your personal data. After receiving this request, you will receive an overview of your personal data within one month. If any inaccuracies are found, you can request MEPD to correct, supplement, delete or block your data.

You can also request MEPD for the transfer of your personal data. Or you may object to the processing of your personal data, due to special personal circumstances.

To prevent misuse of these rights, we ask you to identify yourself when submitting your request. This can be done by sending a copy of a valid ID. Be sure to make your citizen service number (BSN) and photo illegible on the copy. For example, you can use the ‘KopieID’ app for this purpose.


Do you have a complaint about the processing of your personal data by MEPD? Please let us know. If you cannot resolve the issue with MEPD, you have the right to submit a complaint to the privacy supervisory authority, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). You can contact the Dutch Data Protection Authority for this.

MEPD can amend this privacy statement. New versions are always published on the website. We therefore recommend that you consult this statement regularly so that you remain informed of changes.
